Using Smart Links
Send personalized intake forms by SMS or QR code and recover incomplete leads

What Smart Links Are
A Smart Link is a short, personalized intake form link (a /s/... URL) created for one specific lead. Instead of asking every qualifying question in conversation, the AI can text the customer a link where they finish intake on their own — upload photos, describe the job, flag emergencies, and pick a time. Each link is tied to its lead, expires, and reports whether the customer completed it.
Where They Live
Open Booking links in the sidebar and switch to the Smart links tab. The table shows each link’s recipient, status, what triggered it, when it was created, when it expires, and whether the form was submitted. Click a row for full detail.
How Links Get Sent
| Trigger | When It Fires |
|---|---|
| Post Call | After a voice call, so the caller can add details the call did not capture |
| SMS Qualification | During an SMS conversation when a form beats twenty questions |
| Missed Call | After a missed call, giving the caller a way to submit their request anyway |
| Manual | You sent it yourself with the Send Link button |
| QR Code | A customer scanned your printed QR code |
| Workflow | An automation rule generated it |
Automatic triggers and their delays are configured in Settings › Smart Link — see below. To send one manually, click Send Link, pick the lead, and the link goes out by SMS.
QR Codes
The QR Code button generates a scannable code that opens your intake form — useful on trucks, invoices, yard signs, and business cards. Preview it, then download as PNG or SVG, or print a ready-made PDF sheet. QR codes require enabling the QR option (with a landing slug) in Settings › Smart Link.
Configuring Smart Links
The Smart Link tab in Settings controls the whole system:
| Section | What It Controls |
|---|---|
| Master toggle | Turns the Smart Link system on or off |
| Triggers | Auto-send after SMS qualification, after voice calls, and on missed calls — each with its own delay |
| Form content | Whether the form asks for photo uploads, an emergency question, and a scheduling step |
| Form appearance | Branding of the customer-facing form |
| SMS templates | The message that delivers the link, and the recovery message |
| Abandonment recovery | How many recovery texts to send, and how long after the customer opens but does not finish |
| QR code | Enable QR intake and set the landing slug |
Troubleshooting
| Issue | Likely Cause | Fix |
|---|---|---|
| Links are never sent automatically | Master toggle or the specific trigger is off | Check Settings › Smart Link triggers and delays |
| Customer says the link does not work | Link expired | Send a fresh link manually from the Smart links tab |
| QR Code button shows setup required | QR is not enabled or has no landing slug | Enable QR and set a landing slug in Settings › Smart Link |
| Links open but few are completed | Form asks too much | Trim optional questions and rely on abandonment recovery texts |
